On 'Executive Function Theft'

    This post by Abigail Goben popped up in several places and is one of those that gives a name to someone most people will recognise. It’s an important differentiation on what is often called ‘care work’ as it highlights how something important is taken when repetitive, administrative work is outsourced to other humans.

    Executive Function Theft (EFT) is the deliberate abdication of decision-making, tasks, and responsibilities that are perceived as administrative or repetitive, of lesser importance, or aren’t pleasant or shiny, to another person, with the result that the receiving person’s executive function becomes so exhausted that they are unable to participate in, contribute to, or enjoy higher level efforts.

    In the workplace, an example of EFT often plays out in the inequality of service labor, and I will specifically use academic service work here as it is my current workplace. Think of the people who end up with more than their share of administrative maintenance tasks — such as organizing get well cards, scheduling workshops, or taking notes. Consider the colleague who has a list of committee appointments a yard long and has just gotten a request to be on Another! Important! (is it?) Committee. These individuals may not be doing these tasks strictly because it is their job responsibility, but because they see a need to be filled or have been asked or tasked with taking on more service that they feel they cannot turn down. And notice how those tasks so often fall to the same group of people — especially when we get to any form of implementation or ongoing commitment rather than the “fun” ideation phase. One way to calculate these service loads would be to count the number of committees and task forces held by and expected of various individuals — who gets a pass and who gets penalized if they don’t say yes.

    Quite often there’s a gendered component as to who is tasked with these additional service responsibilities — the office housekeeping as well as the care tasks of the workplace.

    I will admit to never having been able to read Cal Newport’s Deep Work all the way through — I got too irritated — but I would point to his dismissive naming of the idea of “shallow work”, which he defines as logistical and often repetitive tasks, such as writing short emails. Newport recommends entirely stopping or poorly performing that work; I read this as encouraging readers to commit EFT against others around them. Too often the dump off of what are critical responsibilities is not to a specifically tasked and appreciated administrator but instead onto the junior, female, minoritized, non-tenure track, or precarious employees. It’s the maintenance work of keeping the workplace going and we do not appreciate the maintainers. Similarly thinking about EFT in the workplace, I was reminded of the guy who got famous with the Four Hour Workweek book and how we were all just supposed to outsource things to nameless underpaid gig workers. Notably, when looking for a summary of that book, I found an article by Cal Newport praising it.

    Six Causes of Burnout at Work

    This is an interesting article from UC Berkley’s Greater Good Magazine based on journalist Jennifer Moss' new book The Burnout Epidemic: The Rise of Chronic Stress and How We Can Fix It. It not only talks about organisational factors, but personality types as well.

    1. Workload. Overwork is a main cause of burnout. Working too many hours is responsible for the deaths of millions of people every year, likely because overwork makes people suffer weight loss, body pain, exhaustion, high levels of cortisol, sleep loss, and more.

    2. Perceived lack of control. Studies show that autonomy at work is important for well-being, and being micromanaged is particularly de-motivating to employees. Yet many employers fall back on watching their employees’ every move, controlling their work schedule, or punishing them for missteps.

    3. Lack of reward or recognition. Paying someone what they are worth is an important way to reward them for their work. But so is communicating to people that their efforts matter.

    4. Poor relationships. Having a sense of belonging is necessary for mental health and well-being. This is true at work as much as it is in life. When people feel part of a community, they are more likely to thrive. As a Gallup poll found, having social connections at work is important. “Employees who have best friends at work identify significantly higher levels of healthy stress management, even though they experience the same levels of stress,” the authors write.

    5. Lack of fairness. Unfair treatment includes “bias, favoritism, mistreatment by a coworker or supervisor, and unfair compensation and/or corporate policies,” writes Moss. When people are being treated unjustly, they are likely to burn out and need more sick time.

    6. Values mismatch. “Hiring someone whose values and goals do not align with the values and goals of the organization’s culture may result in lower job satisfaction and negatively impact mental health,” writes Moss. It’s likely that someone who doesn’t share in the organization’s mission will be unhappy and unproductive, too.

    How to recover from burnout

    The World Health Organisation (WHO) defines occupational burnout as "feelings of energy depletion or exhaustion; increased mental distance from one’s job, or feelings of negativism or cynicism related to one's job; and reduced professional efficacy."

    Based on that definition, I've experienced burnout twice, once in my twenties and once in my thirties. But what to do about it? And how can we prevent it?

    I read a lot of Hacker News, including some of the 'Ask HN' threads. This one soliciting advice about burnout received what I considered to be a great response from one user.

    Around August last year I just couldn't continue. I wasn't sleeping, I was frequently run down, and I was self-medicating more and more with drugs and alcohol. It eventually got to the point where simply opening my laptop would elicit a fight or flight response.

    I was lucky enough to be in a secure enough financial situation to largely take 6 months off. If you're in a position to do this, I highly recommend it.

    I uninstalled gmail, slack, etc. from my phone. I considered getting a dumb phone, but settled for turning off push notifications for everything instead. I went away with my girlfriend for a week and left all my tech at home except for my kindle (literally the first time I've been disconnected for more than a couple of days in probably 20 years). I exercised as much as possible and spent time in nature going for walks, etc.

    I've been back at it part time for the last few months. Gradually I felt the feelings of burnout being replaced with feelings of boredom, which is hopefully my brain's way of saying that it's starting to repair itself and ready to slowly return to work.

    I'm still nowhere near back to peak productivity, but I'm starting to come to terms with the fact that I may never get back there. I'm 36 and probably would have dropped dead of overwork by 50 if I kept up the tempo of the last 10 years anyway.

    I'm not 'cured' by any means, but I believe things are slowly getting better.

    My advice to you is to be kind and patient with yourself. Try not to stress about not having a side-project, and instead just focus on self-care for a while. Someone posted this on HN a few weeks back and it really hit close to home for me: http://www.robinhobb.com/blog/posts/38429

    If you change nothing, nothing will change

    What would you do if you knew you had 24 hours left to live? I suppose it would depend on context. Is this catastrophe going to affect everyone, or only you? I'm not sure I'd know what to do in the former case, but once I'd said my goodbyes to my family, I'm pretty sure I know what I'd do in the latter.

    Yep, I would go somewhere by myself and write.

    To me, the reason both reading and writing can feel so freeing is that they allow you to mentally escape your physical constraints. It almost doesn't matter what's happening to your body or anything around you while you lose yourself in someone else's words, or you create your own.


    I came across an interesting blog recently. It had a single post, entitled Consume less, create more. In it, the author, 'Tom', explains that the 1,600 words he's shared were written over the course of a month after he realised that he was spending his life consuming instead of creating.

    A lot of ink has been spilled about the perils of modern technology. How it distracts us, how it promotes unhealthy comparisons with others, how it makes us fat, how it limits social interaction, how it spies on us. And all of these things are probably true, to some extent.

    But the real tragedy of modern technology is that it’s turned us into consumers. Our voracious consumption of media parallels our consumption of fossil fuels, corn syrup, and plastic straws. And although we’re starting to worry about our consumption of those physical goods, we seem less concerned about our consumption of information.

    We treat information as necessarily good, and comfort ourselves with the feeling that whatever article or newsletter we waste our time with is actually good for us. We equate reading with self improvement, even though we forget most of what we’ve read, and what we remember isn’t useful.

    I feel that at this juncture in history, we've perfected surveillance-via-smartphone as the perfect tool to maximise FOMO. For those growing up in the goldfish bowl of the modern world, this may feel as normal as the 'water' in which they are 'swimming'. But for the rest of us, it can still feel... odd.

    This is going to sound pretty amazing, but I don't think there's been many days in my adult life when I've been able to go somewhere without anyone else knowing. As a kid? Absolutely. I can vividly remember, for example, cycling to a corn field and finding a place to lie down and look at the sky, knowing that no-one could see me. It was time spent with myself, unmediated and unfiltered.

    This didn't used to be unusual. People had private inner lives that were manifested in private actions. In a recent column in The Guardian, Grace Dent expanded on this.

    Yes life after iPhones is marvellous, but in the 90s I ran wild across London, up to all kinds of no good, staying out for days, keeping my own counsel entirely. My parents up north would not speak to me for weeks. Sometimes, life back in the days when we had one shit Nokia and a landline between five friends seems blissful. One was permitted lost weekends and periods of secret skulduggery or just to lie about reading a paperback without the sense six people were owed a text message. Yes, things took longer, and one needed to make plans and keep them, but being off the grid was normal. Today, not replying... is a truly radical act.

    Given all this, it's no wonder in our always-on culture that we have so much 'life admin' to concern ourselves with. Previous generations may have had 'pay the bills' on their to-do list, but it wasn't nudged down the to-do list by 'inform a person I kind of know on Twitter that they have incorrect view on Brexit'.

    All of these things build upon incrementally until they eventually become unsustainable. It's death by a thousand cuts. As I've quoted many times before before, Jocelyn K. Glei's question is always worth asking: who are you without the doing?


    Realistically, most of our days are likely to involve some use of digital communication tools. We can't always be throwing off our shackles to live the life of a flâneur. To facilitate space to create, therefore, it's important to draw some red lines. This is what Michael Bernstein talks about in Sorry, we can't join your Slack.

    Saying yes to joining client Slack channels would mean that down the line we’d feel more exhausted but less accomplished. We’d have more superficial “friends,” but wouldn’t know how to deal with products much better than we did now. We’d be on the hook all the time, and have less of an opportunity to consider our responses.

    In other words, being more available and more 'social' takes time away from more important pursuits. After all, time is the ultimate zero-sum game.


    Ultimately, I guess it's about learning to see the world differently. There very well be a 'new normal' that we've begun to internalise but, for now at least, we have a choice to use to our advantage that 'flexibility' we hear so much about.

    This is why self-reflection is so important, as Wanda Thibodeaux explains in an article for Inc.

    In sum, elimination of stress and the acceptance of peace comes not necessarily from changing the world, but rather from clearing away all the learned clutter that prevents us from changing our view of the world. Even the biggest systemic "realities" (e.g., work "HAS" to happen from 9 a.m. to 5 p.m.) are up for reinterpretation and rewriting, and arguably, inner calm and innovation both stem from the same challenge of perceptions.

    To do this, you have to have to already have decided the purpose for which you're using your tools, including the ones provided by your smartphone.

    Dealing with the downsides of remote working

    A colleague, who also works remotely, shared this article recently. Although I enjoy working remotely, it’s not without its downsides.

    The author, Martin De Wulf, is a coder writing for an audience of software engineers. That’s not me, but I do work in the world of tech. The things that De Wulf says makes remote working stressful are:

    1. Dehumanisation: "communication tends to stick to structured channels"
    2. Interruptions and multitasking: "being responsive on the chat accomplishes the same as being on time at work in an office: it gives an image of reliability"
    3. Overworking: "this all amounts for me to the question of trust: your employer trusted you a lot, allowing you to work on your own terms , and in exchange, I have always felt compelled to actually work a lot more than if I was in an office."
    4. Being a stay at home dad: "When you spend a good part of your time at home, your family sees you as more available than they should."
    5. Loneliness: "I do enjoy being alone quite a lot, but even for me, after two weeks of only seeing colleagues through my screen, and then my family at night, I end up feeling quite sad. I miss feeling integrated in a community of pairs."
    6. Deciding where to work every day: "not knowing where I will be working everyday, and having to think about which hardware I need to take with me"
    7. You never leave 'work': "working at home does not leave you time to cool off while coming back home from work"
    8. Career risk: "working remotely makes you less visible in your company"
    I've managed to deal with at least half of this list. Here's some suggestions.
    • Video conference calls: they're not a replacement for face-to-face meetings, but they're a lot better than audio only or just relying on emails and text chats.
    • Home office: I have one separate to the house. Also, it sounds ridiculous but I've got a sign I bought on eBay that slides between 'free' (green) and 'busy' (red).
    • Travel: at every opportunity. Even though it takes me away from my wife and kids, I do see mine a lot more than the average office worker.
    • Realistic expectations: four hours of solid 'knowledge work' per day plus emails and admin tasks is enough.
